ClientLook commercial real estate CRM allows you to customize the way your account works to suit your specialty and the way you prefer to work. Here are five things you should take a look at today.
To get started, go to the Setup module. Click your name in the upper right corner of any ClientLook CRM page and choose “Setup.” The setup module is divided into tabs, each of which contain all sorts of options. When you make changes on any tab, be sure to click the “Save changes” button at the bottom.
BCC: ClientLook On Your Outgoing Emails
When you click on a contact’s email address in ClientLook, we will automatically start up your default email program and compose an email to that address. If you would like a copy of that email attached to the contact’s record in your ClientLook database, all you need to do is add your personal ClientLook forwarding address as a bcc: on the email.
You can set ClientLook to do this automatically by checking the box at the bottom of the email tab labeled “Automatically add my personal ClientLook email address as a BCC recipient whenever I click a contact’s email address in my account.” Now every time you send a message, the email will be transcribed into an update on that contact’s record.
Add Your Additional Email Addresses
When you send an email into ClientLook, the first thing we do is verify that it came from you. We’ll automatically allow email from the address that you use to log in to ClientLook. If you have additional addresses that belong to you that you want us to recognize as your own for this purpose, simply add them in the “Authorized email addresses” section on the email tab. That way, emails you send into ClientLook from those addresses will attach to your contacts.
Choose Your Client Collaboration Options
When you create a “deal” in ClientLook, you can choose to share that with your clients so they can log in at any time and get live updates on that assignment (learn more about our online deal “war room”). You can set default options on the “Preferences” tab so that your most often-used sharing options are selected automatically when you create something in ClientLook and share it with that deal. Please note that you can always override this default as needed.
Select Your Startup Page
When you first start ClientLook, it automatically opens the “contacts” module by default. However, you can choose which module starts first by selecting a different option from the “Startup page” list. Now you can start with the page that makes the most sense to you based on how you work.
Customize The Relationships Between Records
You can define how contacts relate to properties, how contacts and companies relate to comps, listings and deals, and even how contacts relate to each other. Although ClientLook automatically includes the most common relationship types, you can add whatever makes sense to you on the “Relationships” tab.
For example, I’ll edit the “Property” relationships, which define how contacts and companies relate to a property. In the screen below, you can see I’ve added “In House Leasing Agent” and “Lender” to the other built-in options that you would find in your ClientLook account.

Import Your Data
As a commercial real estate broker, your CRM is the hub for all of your contacts, properties, deals, and tasks. When you first sign up for a CRM, you’ll want to import all of your information. Gather all of this data from your Excel spreadsheets, OutLook, and Google, and import it into your CRM so everything is together in one easy to reference location. While you’re doing this, take a few minutes to make sure your data is accurate and complete. You’ll thank yourself later when you go back to look up a contact or property and all of the information is up to date.
Schedule Tasks
One of the great things about a CRM is it’s ability to help you stay organized. Never let important dates slip your mind. Instead, schedule follow ups and reminders within your CRM. For example, let’s say you call a potential client and he asks you to call him back in 30 days. Instantly set up a task so in 30 days you’ll have a reminder. When you get in the habit of scheduling your tasks, starting your day becomes much easier because all of your tasks are easy to reference. Start your day in your CRM by following up on these items.
Keep It Updated
Your CRM is only as good as the data it contains. That’s why keeping your contacts, deals, and property information updated is critical. The summer season is a bit unpredictable for most commercial real estate brokers since many of your clients may be traveling, co-workers are out of the office more than usual, and day to day schedules seem to vary. Don’t get off track this summer; instead use this time to boost your productivity and set your goals for the remainder of the year.
Evaluate Your Goals
What goals are you hoping to accomplish by the end of the year? Whether it’s a financial goal, a certain amount of closed transactions, or gaining a set number of new clients, now is the time to focus on those goals and make your game plan. It may help to break your goals down into smaller milestones, such as accomplishing a certain amount each month until you reach your final end goals. Take advantage of the summer months to be as productive as you can.
Review Your Marketing Strategy
Now is the perfect time to evaluate your marketing strategy. How are you currently marketing your commercial real estate business? Are you happy with the results of your marketing efforts, or do you think it’s time for a change? Staying active on social media is important during this time. With less face to face interaction, you still want to stay on the top of your customers minds. You can also create a monthly newsletter, update your website, or start writing a blog. If you’re already doing all of these things, take some time to look over the results of your efforts to find the areas that you can improve.
Focus On Personal Development
Many of the top industry professionals say they spend quiet time reading a non-fictional book every day. Others listen to business podcasts or attend development conferences (which are now being hosted virtually). As you continue to advance in your business, there is always something new to learn. From sales and marketing strategies, to leadership principles and team building tips, there is always a topic that you can dive into to further develop your skillset. Making your health a top priority can have a positive impact on your business as well. Try to reduce your stress by exercising each day, getting enough sleep, and fueling your body with healthy foods.
Update Your CRM
While I highly suggest keeping your commercial real estate CRM updated on a daily basis, if you haven’t been doing this, use a slow day to update your database. As a commercial real estate professional, keeping your pipeline full of work means having to master the art of client presentations. While some people naturally thrive in this area, others are not as excited about putting together a presentation and pitching themselves to potential clients. If you fall in the latter group, here are six tips to help you deliver a killer CRE presentation.
Be Prepared
This sounds like a no-brainer but take some time to do your homework before the presentation. Know who you will be meeting with, their roles, and a history of the company. Are they a new or established business? How many other properties do they have? Why are they looking to lease or purchase a new property? Understanding who you’re talking to and what their current position is, will help you tailor the presentation to meet their precise needs. Plus, the clients will take notice of a CRE broker who genuinely cares about their company.
Use Visual Aids
Some people find it helpful to create a PowerPoint (or similar) presentation. This can be a good way to visually get their attention and illustrate a point that you’re trying to make. However, you want to keep your visual aids as simple as possible. Use short bullet points that relate to the points you’re making and use a large photo on each slide if needed. Avoid too much text and cluttering the slides with too many images or logos. Remember that your visual aids should reinforce your message, not be a distraction to your audience.
Practice, Practice, Practice
Be aware of how much time you have for your presentation, and then practice making sure you can stick to it. The more you practice your CRE presentation, the more prepared and relaxed you will feel going into it. If possible, ask your teammates or friend to listen to your presentation and give you their honest feedback. Do you sound confident? Does everything you’re saying make sense? Is anything confusing or not accurate? Is there anything that you can do to improve? Take this constructive criticism to further improve your presentation, and then practice it again.
Show Your Passion
People want to work with people that they feel comfortable with. Show your personality in your presentation, as well as your passion and excitement for the work. A lot of times, clients will hire the CRE broker who is the most eager to help them – not necessarily the most qualified. You can also use a bit of humor to help put the clients at ease and make them feel more relaxed. Remember that your body language also sends an important message, so make eye contact, stand up straight, and look confident yet approachable.
Differentiate Yourself
With so many commercial real estate brokers competing for the same clients, it’s important that you differentiate yourself. While your personality and expertise will play a large role here, so will the processes and systems that you have in place to service your clients better than the competition. The more you do client presentations, the more prepared you will feel. As a CRE professional, it’s a part of your job and a great way to keep work flowing in.
